Payment
• Payment of the invoice must be made within 14 days from the invoice date, otherwise we will charge a credit restriction of 2%.

Cancellation
• Only written cancellations will be accepted.
• From the signing of the contract until 3 months before the event date, 25% of the total amount will be charged.
• Between 3 months and 2 months before the event, 50% of the total amount will be charged.
• Between 2 months and 10 days before the event, 75% of the total amount will be charged.
• From 9 days before the event, 100% of the total amount will be charged.
Change of rooms
Hotel Beveren always has the right to relocate the activities to a different room/rooms if the number of persons changes or if a room becomes available that is more suitable. You will be informed about this in advance.
Reduction in number of guests
• Up to 60 days before the event, free cancellation of 40% of the total number of guests. If more than 40%, then this portion will be charged.
• Between 59 and 30 days before the event, free cancellation of 30% of the total number of guests. If more than 30%, then this part will be charged.
• Between 29 and 10 days before the event, free cancellation of 10% of the total number of guests. If more than 10%, then this portion will be charged.
• Between 9 and 4 days before the event, free cancellation of 5% of the total number of guests. If more than 5%, then this part will be charged.
• From 3 days onwards, free cancellation is no longer possible and the number is final.
• When the rooms are individually reserved for an event, the participant will be responsible for guaranteeing their room reservation and payment. If the organizer cancels the entire event, they will also be responsible for the rooms that were put on hold. In this case, the cancellation conditions mentioned above will apply.
Room Reservations
• We kindly request to receive the full list of names and room allocation for all guests who will be staying 10 days prior to arrival.
• Due to the identification requirement, it is necessary for every guest to present a valid passport or identity card upon arrival.
• For events where guests have to make their own reservations, and therefore a number of rooms are put on hold. Unused rooms will be released 14 days before the event.
• Any preferences regarding specific rooms or certain locations cannot be guaranteed, of course we will do our best to accommodate your wishes

• If the guest decides to leave the hotel early, before the booked departure date, Van der Valk is entitled to charge the remaining nights, including the reserved facilities/amenities, in full at the agreed rate.
